I have set up a text field to collect the data from the app, but then I need to update the value of the picklist field. Is there a way to do that? When I try to run a workflow field update, it does not allow me to put in a formula - just pick a specific value.

Best Answer chosen by Cyndi Jensen. James Loghry Workflow field updates, as you found out, are limited in what they can do.A picklist field lets you choose a value from a pre-populated list. You can use this function in assignment rules, validation rules, field updates, and workflow rules to find the previous value of a field. The validation rule fires if the prior value of Type is not blank and the current value is. CASE is useful for writing formulas that have different results based on the value of a picklist.

This formula with the Number return type assigns a case a priority based on its type. The formula compares Type to each case, assigning a priority when it finds a match. Electrical cases are given a priority of 1, Electronic cases 2, and so on. TEXT converts a picklist value to a Text value in the master language of your organization, not the language of the current user. You cannot use TEXT on multi-select picklists.

Multi-select picklists are not recommended in formula fields. A picklist value often determines which other fields on a record are required. First, create a custom text field Reason for Escalating on the Case object. Now use the Status picklist field to set up a validation rule on Reason for Escalating.

The validation rule ensures that if the Status is set to Escalated, Reason for Escalating is not blank. Test your formula by updating the Status of a case to Escalated and saving the record without entering a Reason for Escalating. The form displays your error message under the Reason for Escalating field.

What if you want to assign a priority to contacts based on their associated account rating, a picklist field? Because there are three possible account ratings—Hot, Warm, or Cold—and two options for Is Executive —checked or unchecked—there are six total cases. Create a formula field on the contact object with the name Priority and the type Number. Using picklist values in any other function results in an error.

This Checkbox formula field, for example, is meant to display a checkbox that indicates whether the Lead Source is "Partner Referral.

The scenario is that I have a picklist containing multiple values and I need to have whatever is selected on 'that' picklist be reflected in another field which is in another 'custom object'. I have seen similar posts to mine but after trying multiple times I have been unsuccessful.

I would like to change the default master picklist value on an existing field to a formula that looks at the Business Unit field in the User profile. I can write the formula I just can't find where to do that. I have looked at the field within the Case Record Type and within the Case Fields and the only default option is a drop down of all the picklist values nowhere to write a formula.

I know that I could create a new Record Type for a specific group and then give that record type to different profiles If so, can someone send me the steps? I understand the concept that dependent fields can't have defaults, because defaults calculate at record creation. Manage Your Picklist Values
